Mailmarketing currently carry out the fulfilment of membership packs, including monthly renewals and reminders. This involves downloading up to 20 files daily from a FTP server, importing these into our database, reporting back the quantities received in each file, allowing any discrepancies to be highlighted at an early stage.

There are a total of 64 varieties of packs, to include a personalised letter, membership card, leaflets and brochures. The database was created specifically for processing this client’s data and we have worked successfully with them reducing the number of letter text variants required by exporting certain information as variable text that is merged to the letter.

An example of this is a paragraph that is changed dependant on whether the member has signed a Gift Aid declaration. This allows them to target the message required on the basis of this criteria. We have introduced audit procedures to ensure that each batch is tracked throughout the fulfilment process, from receipt of data, to pick and pack and finally despatch.

Along with the traditional mailings we also design and broadcast email campaigns on a regular basis to lapsed members.
